Join our dynamic team in the heart of Paris as a Business Assistant in the Banking sector, where your skills will drive innovation and success in one of the world's financial capitals!As a Business Assistant in our bustling Banking team, you will find that your day is a blend of dynamic tasks and meaningful interactions. From coordinating meetings and managing schedules to preparing essential documents and facilitating communication among team members, your role is pivotal in ensuring the smooth operation of our team. Your organizational skills and proactive approach help streamline processes, allowing our bankers to focus on delivering best in class results.
Job responsibilities
- Has advanced, proactive diary management, facilitates swift set-up of client meetings in-person or over video (Zoom/TEAMS) internally and externally and prepares all logistics for client meetings (taxi and room bookings, printings)
- Manages complex, high volume of emails
- Handles clients professionally and maintains high level of confidentiality internally and externally
- Shares phone coverage for a busy group, involving significant interaction with clients and senior members of the firm
- Coordinates complex travel arrangements, including flights, check-ins, VISAs, accommodation, and transportation, in line with Corporate Policy. Handles frequent last-minute changes
- Processes expenses, reimbursement, personal amounts owing
- Handles internal systems and trainings, is aware of Corporate Policy (Cross-border, Compliance, Security travels, expenses)
- Partners with marketing teams for client events (calendar alignment, nomination process, invitations, follow-ups)
- Becomes integral part of business, understands group priorities and Banker expectations
- Partners with assistants across the Banking group locally and internationally to provide coverage for absence where necessary
Required qualifications, capabilities, and skills
- Professional client handling and relationship building with all clients and cover groups
- Strong interpersonal, written, and oral communication skills
- Full competency in diary management, can apply good judgment and has an understanding of competing priorities, solution orientated
- Has a high level of attention to detail and delivers high quality results
- Advanced organizational skills, ability to meet deadlines, demonstrates proactivity and ownership, exhibits a positive, common sense, constructive attitude to drive senior management schedule and help manage time effectively
- Polished, professional approach, calm and composed manner, ability to work in a pressured environment, is a team player and has potential to act as a role model and lead by example
- Proficiency in Microsoft Office
- Fluent in English
Preferred qualifications, capabilities, and skills
- Fluent in French
- Has an understanding of the culture of Investment Banking and the Corporate Bank
