Key roles
We have an exciting opportunity to join our Head Office team as a Receptionist and Administration Support.
- Reception Duties: Cover the front desk Monday-Friday, answer and direct calls, greet visitors, notify staff, and follow security procedures.
- Administrative Support: Assist the Business Services team with daily tasks and collaborate across departments to ensure smooth operations.
- Work Environment: This role can involve quieter periods when visitor traffic and calls are low. It is ideal for someone who is comfortable working independently and can use downtime productively.
Specific responsibilities (including but not limited to)
- Greet and assist visitors, clients, and employees with professionalism, ensuring each guest feels welcome and is directed appropriately.
- Manage all incoming communications by answering, screening, and forwarding phone calls, and responding to inquiries via phone, email, or in person.
- Handle challenging or upset callers with composure, using empathy and effective problem-solving skills to de-escalate situations.
- Coordinate scheduling and manage appointments efficiently to support smooth daily operations.
- Provide comprehensive administrative support, including filing, data entry, mail handling, and maintaining office supplies.
- Maintain a clean, organized, and presentable reception and waiting area at all times.
- Assist Business Services in delivering administrative support to the CEO.
- Support the team in all aspects of facility management.
- Coordinate post and courier services.
- Perform additional duties as assigned by the Business Services Department.
Qualifications/skills
- High level of proficiency in Word, Excel, and PowerPoint
- Sound numeric skills
Experience
- Front Desk Operations: Handling phone calls, greeting visitors, managing appointments.
- Administrative Tasks: Filing, data entry, scheduling meetings, managing correspondence.
- Customer Service: Experience in roles that involve interacting with clients or the public.
- Office Software: Familiarity with tools like Microsoft Office (Word, Excel, Teams, Outlook)
- Multi-line Phone Systems: Experience answering and transferring calls professionally.
