Description
Are you an experienced payroll professional with a solid understanding of the regulatory framework governing Polish payroll and a passion for precision, adherence, and continuous improvement?Join our team as an EMEA Payroll Specialist. You will handle the full payroll process for Poland and assist with payroll coordination in several smaller EMEA regions. Working with HR, Finance, and outside payroll providers, you will help deliver accurate, compliant payroll. You will support moving payroll in-house and improve processes. What you'll do

- End-to-end processing of monthly payroll for Poland (approx. 300 Employees and growing)
- Process payroll through ADP, ensuring accuracy, timeliness, and compliance.
- Maintain payroll data in Workday and ensure alignment with ADP.
- Coordinate payroll processing with ADP for smaller EMEA locations (approx. 20 Employees) ensuring accuracy, compliance, and timely delivery.
- Perform payroll reconciliations, validations, and variance analysis.
- Ensure full adherence to Polish employment legislation and tax regulations.
- Prepare and submit statutory reports to ZUS, tax authorities, and other local bodies.
- Manage local payroll documentation and statutory forms (including flexi forms).
- Act as the local point of contact for payroll-related audits and authorities.
- Collaborate closely with divisions including HR, financial services, and external payroll providers to ensure seamless payroll operations.
- Support employee payroll queries both in Polish and English.
What we're looking for

- Proven experience processing payroll in Poland.
- Strong knowledge of Polish payroll legislation, including labour law, tax regulations, ZUS reporting, and statutory payroll requirements.
- Experience managing end-to-end payroll with outstanding accuracy and attention to detail.
- Proficiency in Microsoft Excel, including formulas, data analysis, reconciliations, and payroll reporting.
- Experience using payroll systems such as ADP is preferred.
- Experience with Workday or other HRIS platforms is an advantage.
- Ability to work effectively with internal collaborators and outside payroll vendors in a collaborative environment.
- Strong problem-solving skills with the ability to identify process improvements and resolve payroll-related issues.
- High level of integrity, discretion, and professionalism when handling confidential employee and payroll information.
- Proficiency in Polish and a strong command of English, both written and spoken.
Nice to Have- Certified Payroll Accountant qualification in Poland.
- Experience supporting or leading payroll transitions, including moving payroll from an outsourced provider to an in-house model.
- Experience supporting payroll operations across multiple countries or within an international organisation.
